The Basics

eZ Import provides a simple and quick way to import lists and transactions into QuickBooks. The following provides a overview of the process for importing a file into QuickBooks.
  1. Create a File Mapping for import file.
  2. Select Import Type, File Mapping and Import File.
  3. Review and Import Data
  4. Repeat Steps 2-3 going forward for all files with the same layout!

Creating a File Mapping – Mapping Wizard

A File Mapping specifies where data is located in the file for transactions or lists. When creating a File Mapping, the File Mapping Wizard will display the headings in the import file and 3 rows of data. For each column, the QuickBooks Data items associated with the column can be selected. If the additional data not contained in the file is needed for import, it can be added to the File Mapping via the Wizard. The Wizard, shows details about each QuickBooks Data Item in the transaction/list. Additionally, the Wizard allows the vendor/customer creation as part of the import The File Mapping for transactions. For more details, click here.

Select Import Type, File Mapping and Import File

Once a File Mapping is created for a file layout, the next step is to select the transaction type, the file mapping and import file. Once selected, click the continue button to review the data.

Review and Import Data

The Review window is the brain of the application. The review screen will show a grid of all the relevant data (columns setup in the File Mapping Wizard) in the import file. Any of the data can be changed in the window. Data items which have a list in QuickBooks will a dropdown list in the cell of the all valid QuickBooks list; Similar to the QuickBooks user interface. The window has the ability validate all data contained in the file against QuickBooks Lists additionally. Additionally, if the File Mapping contains a reference number for a transaction, the transaction will be queried against QuickBooks to check if it’s already contained in QuickBooks to prevent duplicate If an import transaction, e.g. Invoice can contain multiple lines, the application can display a window showing all the line items associated with the application. After reviewing the window, click the import button and each transaction will be imported into QuickBooks. If an error occurs for a transaction/item, it will be marked in red with details provided by clicking the status cell. Correct the issue and click import to attempt transaction in error again.
