Here you will find a list of the most frequently asked questions that we receive about eZ Credit Card Import.
General Questions
eZ Credit Card Import supports 7 different file formats: .CSV, .XLS, .XLSX, .QIF, .OFX (Money), .QFX (Quicken) and .QBO (QuickBooks®). From Zachary Systems Inc.’s experience, the .OFX, .QFX and .QBO file formats contain the most descriptive information for transactions and should be used, if possible.
QuickBooks® Pro, Premier, Enterprise 2016-2022, QuickBooks® Online Edition(requires Windows 10).
You only need Internet access for QuickBooks® Online Edition. However, in order for the application to register, set the activation key and to verify subscriptions, you are required to have Internet access at the time.
No unfortunately it is not compatible with MAC.

Software Trial
The trial has full functionality as the purchased product except that you are limited by the number of transactions you can import. You can import up to five (5) transactions per session.
Unfortunately there is no save button. You will need to restart eZ Credit Card Import so you can input your activation key that is provided when you purchase the product. The aliases, vendors and customers that you added in the trial version will still be accessible after you restart the program, but any other work will be lost.

Subscription
Each yearly subscription includes two licenses.

You can purchase additional licenses by sending an email to support@zacharysystems.com. Each additional license costs $50 each.
To ensure that there is no service interruption, please renew your subscription by visiting our Buy page and clicking RENEW under eZ Credit Card Import. Make sure you use the same email address when renewing that you used when you first purchased the product. You will receive a reminder email two weeks prior to your subscription expiration date to renew your subscription.

Registering
Yes. You are required to provide limited information about yourself and your company to register the product. PLEASE include your valid email address. After purchasing the product, the email entered during registration will be used to send the activation key.
First, check your email spam folder. If you did not receive an email, you may request a new key using email at support@zacharysystems.com.

Connecting to QuickBooks
For security reasons, eZ Credit Card Import requires that QuickBooks® is running when it is launched. This prevents unauthorized access to your sensitive company information.
During the registration process or at some other point, eZ Credit Card Import was denied access to QuickBooks®. To correct this issue perform the following steps:
  • Open your company file in QuickBooks®
  • Select Edit | Preferences from the QuickBooks® menu
  • Select Integrated Applications in the list of preferences on the left hand side of the dialog box.
  • Click the Company Preferences tab.
  • Highlight eZ Credit Card Import line and click Properties. The Properties dialog box opens.
  • Under the Access Rights tab select "Allow this application to read and modify this company file" and de-select Prompt before allowing access.
  • Click OK on the Properties dialog box.
  • Click OK on the Preferences dialog box.
Going forward, the eZ Credit Card Import will be able to access QuickBooks® for this company file. Note: If you use multiple company files you may be required to perform this procedure on each file.

Error Messages
You are probably running the trial version of the product. The trial version only allows up to 5 transactions per session to be imported into QuickBooks
In eZ Credit Card Import, you will need to set the date format for QIF files in the Preferences window. You can access Preferences from the Select Import File window (this is where you select the file you want to import). Simply click on the Tools menu at the top and choose Set Preferences. You can also access the Preferences from the Import Transactions Window (this is the window that you see after you've uploaded your file into eZ Credit Card Import). Again, you can access this from the Tools drop down.
When you select an .xls or .csv file from the Select Import File window, you will be prompted by a Getting Started with Excel and CSV File pop-up message that will tell you how to format your .xls or .csv columns before importing. Select the ZSI Standard Format Full from the drop down menu if you want the following information imported.
  • Column 1: Date of Transaction
  • Column 2: Amount
  • Column 3: RefNo
  • Column 4: Payee
  • Column 5: Account
  • Column 6: Memo
Or you can choose ZSI Standard Format and have the following columns:
  • Column 1: Date of Transaction
  • Column 2: Amount
  • Column 3: Transaction Number
  • Column 4: Transaction Description
Make sure that you have downloaded and purchased the same product.

Importing Transactions
No, you can’t import .pdfs into eZ Credit Card Import, but you can copy and paste the information from a .pdf (as long as the file is not an image file) into Excel and save as an .xls, .xlsx or .csv file.
No. You will be shown all the transactions in the export file and may select which transactions to import into QuickBooks®.
Yes. The matching is purely done to help prevent duplicate entries in QuickBooks®. You may still select it for import. Note: A warning message will be shown to ensure the transaction wasn’t accidentally selected, but you may continue to import.
Through QuickBooks you may void the transaction. Please refer to QuickBooks help on how to void a transaction.
After clicking the Import into QuickBooks button, a dialog box opens specifying the number of transactions attempted to be imported, the number successful imports and the number with errors. Clicking the Status column will sort the transactions in order of status. This is helpful for finding the transactions with errors.
The statuses are explained below:

Unmatched

The transaction was compared against the data in QuickBooks® and there was not a transaction with the same amount within a week of each other and with the same check number (or one having a blank number).

Matched

The transaction was compared against the data in QuickBooks® and there was a transaction with the same amount, within a week of each other and with the same check number (or one having a blank number).

Imported

The transaction was successfully imported by eZ Credit Card Import into QuickBooks.

Mulit-Matched

The transaction was compared against the data in QuickBooks and there were two or more transactions with the same amount, within a matching time div and with the same check number (or one having a blank number).

Error

During the importing of the transaction, there was an error with the data in the transaction. Put the mouse over the word error to see the details.

eZ Credit Card Import will verify that the required data is present before attempting to import the transaction. If some data is missing, it will label the transaction as an error. Otherwise, the transaction will be attempted to be added to QuickBooks. QuickBooks will verify that the data is correct for the type of transaction selected for import. If there is error in the data, QuickBooks will provide the error message to eZ Credit Card Import.
Yes. By right clicking on any transaction, a context menu is displayed. Select the Split menu option and the Split Transaction window will be displayed allowing you to split the transaction across accounts and/or customers.
If you are importing a .csv file, the amount column needs to be negative for charges and positive for credits.
To refresh the information in the Transactions in QuickBooks Account section of the Import Transactions Window, click Tools in the top navigation and click on Reload QuickBooks Data.
In eZ Credit Card Import, you will need to enable Classes/CusomterJobs in the Preferences window before you can assign them to a transaction. You can access Preferences from the Select Import File window (this is where you select the file you want to import). Simply click on the Tools menu at the top and choose Set Preferences. You can also access the Preferences from the Import Transactions Window (this is the window that you see after you've uploaded your file into eZ Credit Card Import). Again, you can access this from the Tools drop down.

Once the Preferences window is open, click on the "Import" tab. The first option is "Use classes when importing into QuickBooks?" and/or "Enable assigning of customers and billable status...." Choose the Yes radio button. You can also set default classes. Go to the "Default Values" tab within Preferences to set default classes.

Aliases
Many times, data provided by your financial institution will not match the names you have created in QuickBooks for Vendors and Customers. Aliases enable you to create a mapping between online banking export file names and the names contained within QuickBooks. This enables you to set up a mapping and, going forward, the online banking data will be pre-populated with QuickBooks names.
No. When you set-up an Alias, you should only enter one or two words which allows you to classify the transaction. eZ Credit Card Import will search the whole transaction description and if the defined Alias is found anywhere in the description, the transaction will pre-populate with the Alias’ QuickBooks name.
On your old computer, go to C:/ProgramData/Zachary Systems Inc. and copy the Autofill file over to the same directory on your new computer. You may need to enable hidden files/folders if you do not see the Program Data folder. See Microsoft Help for instructions on how to enable hidden files/folders.
